Privacy policy
This policy explains what the Coach Note app collects, why we collect it, who helps us run Coach Note, and the choices you have. It covers the Coach Note app for iPhone and Apple Watch (shown as “CoachNote” on your devices) and the services behind it. Coach Note is made by Asynchronous Sports Inc., a Delaware corporation (“we” or “us”).
Coach Note is currently available only to people in the United States.
The short version
- Coach Note records your sessions on your Apple Watch: audio from the court, your heart rate and the motion of your wrist.
- Recordings can include other people’s voices, like your coach and people nearby. Tell them before you record.
- Other signed-in players can find you by your username and see your profile photo.
- We don’t sell your data, we don’t show ads, and we don’t track you across other companies’ apps or websites.
- We never use data from Apple Health for advertising or marketing.
- “Help improve CoachNote” is on by default. It uses motion, heart rate and audio data from your sessions, with your name, email and account ID removed, to improve Coach Note. You can turn it off in Settings.
- Coach notes are on by default. When they’re on, the talking in your lessons is processed by Deepgram and Google Gemini. You can turn them off in Settings, under Privacy.
- You can delete your account in the app at any time. Deletion is permanent, and all copies are erased within 30 days.
- You must be 18 or older to use Coach Note.
What we collect
- Account details. Your email address and an account ID. You sign in with Apple or with Google.
- Your profile. Your name, username, profile photo and how often you play.
- Session recordings. When you record a session, your Apple Watch records audio from the court, your heart rate and the motion of your wrist. The audio can include your coach’s voice and the voices of other people nearby.
- Health data. With your permission, Coach Note reads your heart rate and date of birth from Apple Health, and asks to save workouts to it. We use your date of birth to work out your age for your heart rate zones. Heart rate and workout data are consumer health data under some state laws, and we handle them as described in “Consumer health data” below.
- Session results. What we work out from your recordings, such as your shot count, heart rate and intensity. If “Coach notes” is on, this also includes a transcript of the talking in your lesson, your coach note and its audio.
- Things you add. Posts, comments, and the photos or videos you attach to them.
- Your consent choices. When you agree to recording and processing, we save when you agreed and which version you agreed to. Each time you start a session, the app saves the time and that version again. We also save your choices for “Help improve CoachNote” and “Coach notes”.
- Device details. An identifier for your device and a push notification token, so we can send you notifications, for example when a session is ready.
- Server logs. Our servers keep technical logs, such as when the app connected and any errors, so we can keep Coach Note running and fix problems.
- Messages to us. If you email us, your email address and what you write.
Recording only happens on your Apple Watch, and only after you start a session. While it records, the watch shows that it’s recording. Your iPhone doesn’t record audio.
How we use it
- To run Coach Note: to sign you in, save your sessions, analyze your recordings and show you the results.
- To show your profile and posts to other players, as described below.
- To send you notifications you’ve allowed, for example when a session is ready.
- To keep Coach Note running and fix problems, using our server logs.
- To improve Coach Note with data with your name, email and account ID removed, if “Help improve CoachNote” is on.
- To make coach notes, if “Coach notes” is on.
- To reply when you contact us.
- To meet our legal obligations.
- To manage purchases and subscriptions, once paid features are available.
- To protect Coach Note and its users, for example by preventing fraud and abuse and enforcing our terms.
We don’t sell your personal information. We also don’t “share” it for cross-context behavioral advertising, as state privacy laws use those terms. We don’t show ads in Coach Note, and we don’t use your information for advertising. We don’t track you across other companies’ apps or websites.
Apple Health
- You choose what Coach Note can read from and save to Apple Health, and you can change it at any time in your iPhone’s Health settings.
- We never use data from Apple Health for advertising or marketing.
- We don’t store data from Apple Health in iCloud.
- We use data from Apple Health only to run Coach Note and, while “Help improve CoachNote” is on, to improve it. We don’t send it to Deepgram or Google Gemini.
- Data in Apple Health stays in Apple Health. Deleting your Coach Note account doesn’t remove it. You can manage it in the Health app.
Help improve CoachNote
This setting is on by default.
When it’s on, we use motion, heart rate and audio data from your sessions, with your name, email and account ID removed, to improve shot detection and build new metrics. We keep this data apart from your account. Voices can sometimes identify people, so audio is harder to make anonymous than motion or heart rate data.
We only use this data with those details removed. We never use it to identify anyone, and we never try to re-identify anyone.
You can turn it off at any time in Settings, under Privacy. After you turn it off, your future sessions won’t be used to improve Coach Note. Data we already used with your name, email and account ID removed can’t be traced back to you, so we can’t remove it. The same applies if you delete your account.
Coach notes
Coach notes are on by default. You can turn “Coach notes” off in Settings, under Privacy. When it’s on, Coach Note transcribes the talking in your lessons and turns it into a short spoken note you can play back:
- Deepgram turns the speech in your recording into text.
- Google Gemini uses that text, plus a timeline of when you were hitting worked out from your shots and wrist motion, to write your coach note.
- Deepgram turns your coach note into audio.
We store the transcript, your coach note and its audio with your account, and only you can hear it. If you turn “Coach notes” off, future lessons won’t be transcribed or get a spoken note. Notes you already have stay on your account. Coach notes are written by AI and can be wrong. They aren’t medical advice or a substitute for a qualified coach.
Other people in your recordings
Your recordings can include the voices of your coach and other people nearby. We don’t use recordings to identify people by their voice. If you record other people, tell them first. Our terms of service explain your responsibilities. You can stop a recording at any time from your watch.
What other people can see
Other signed-in Coach Note players can find you by your username and see your username and profile photo.
When you post a session, you choose who can see it: Public, Followers or Private. Comments, photos and videos on a post follow that post’s setting. In this beta, posts and comments stay on your device and aren’t shared with other players yet. When sharing is available, new posts will start as Private.
You can block other players in Settings, under Support and safety.
Who we share it with
These companies help us run Coach Note and process data for us:
- Supabase runs our database and sign-in, and stores profile photos and any photos or videos you share in posts.
- Cloudflare R2 stores your session recordings and the audio of your spoken coach notes. Backblaze B2 stores an archive copy of your recordings.
- Fly.io runs the processing that analyzes your sessions.
- Apple provides Sign in with Apple, Apple Health and push notifications.
- Google provides Sign in with Google, if you use it. Google Gemini writes your coach notes, but only if “Coach notes” is on.
- Deepgram turns speech into text and creates the audio of your coach notes, but only if “Coach notes” is on.
Each of these companies processes your data to provide its service to us.
Apart from these companies and the people you choose to share with, we share information only when the law requires it, to protect people’s safety or our rights, or as part of a merger, financing, acquisition or sale of our business. If that happens, this policy keeps applying to your information, and we’ll tell you before it’s used in a different way.
How long we keep it
- Session recordings. We keep a working copy for 30 days and an archive copy for up to 12 months, then delete them, or sooner if you delete your account.
- Server logs. We keep server logs only as long as we need them to run Coach Note and fix problems. After you delete your account, we keep only logs with your personal details removed.
- Everything else. We keep your profile, session results, transcripts, coach notes and their audio until you delete your account.
Deleting your account
You can delete your account in the app at any time. On the Sessions tab, tap your profile picture, tap the gear icon to open Settings, then tap “Delete Account”. Our support page has step-by-step instructions.
Deleting your account permanently removes your account, sessions, recordings, health data and posts. It can’t be undone. Everything disappears from the app right away, and all copies, including backups, are permanently erased within 30 days.
After deletion, we keep only:
- a minimal record that the deletion was completed, which doesn’t identify you;
- server logs, with your personal details removed;
- anything the law requires us to keep.
Data in Apple Health isn’t affected. You can manage it in the Health app.
Your choices
- Turn “Help improve CoachNote” or “Coach notes” on or off in Settings, under Privacy.
- Change what Coach Note can access, like Apple Health, the microphone and notifications, in your iPhone and Apple Watch settings.
- Delete your account in the app.
- Email support@coachnote.app with any privacy question or request.
- To withdraw your consent to recording and processing, stop recording sessions. You can also delete your account in the app.
Your privacy rights
Depending on where you live, you may have the right to ask for a copy of your information, to correct it, to delete it, or to withdraw consent you gave us. To use a right, email support@coachnote.app from the email address on your account. We may ask you to confirm it’s you. We’ll answer within 45 days. If we deny your request, you can reply to ask us to reconsider.
Consumer health data
Some states, including Washington and Nevada, have special laws for consumer health data. In Coach Note, this means your heart rate and workout information from Apple Health, and what we work out from it, such as your intensity. We collect it only with your permission through Apple Health, from you and your Apple Watch. We use it to run Coach Note and, while “Help improve CoachNote” is on, to improve it. We share it only with Supabase, which stores it for us. We don’t send it to Deepgram or Google Gemini, even when “Coach notes” or “Help improve CoachNote” is on. We don’t sell it or share it for advertising. You can withdraw your permission at any time in your iPhone’s Health settings. You can also ask for a copy, or ask us to delete it, by emailing support@coachnote.app or by deleting your account.
Children
Coach Note is only for people aged 18 and older. If you think someone under 18 is using Coach Note, email support@coachnote.app and we’ll delete that account.
A child may still be recorded when playing with an adult account holder. Account holders must get a parent or guardian’s permission before recording a minor. If a parent or guardian tells us a recording includes their child and they don’t agree, we’ll delete it.
Security breaches
We take steps to protect your information, but no system is perfectly secure.
If a security breach exposes your information, including health data, we’ll tell you without unreasonable delay, by email or in the app, and any authorities the law requires, for example under the US Federal Trade Commission’s Health Breach Notification Rule.
Our website
This policy also covers the coachnote.app website. If you join our waitlist, we collect the information you enter in the form so we can contact you about access. The website doesn’t use advertising or cross-site tracking cookies.
Changes to this policy
When we change this policy, we’ll post the new version on this page and update the effective date. If a change is important, such as a new use of your data or a new company that handles it, we’ll tell you in the app or by email before it takes effect.
